  1. How do we track being trained by the OHTN face-to-face (web meeting)?
    • Not tracked
  2. Does training from the OHTN get reported in OCHART?
    • No
  3. Who should use the Tracking Tools?
    • Tracking - everyone
    • Reporting – Managers/Directors and Executive Director
  4. Who should record activity in the Tracking Tools?
    • Does not matter who records the work; as long as the type of worker is answered correctly.
  5. When more than one worker is involved in one activity, should each worker add that activity into OCHART Tracking Tool?
    • No, work is provided by your organization, not by each worker independently.
  6. How about when each worker at the same education workshop is delivering different presentations.   Should workers track their own work?
    • Yes
  7. How frequently should data be entered into OCHART?
    • Daily, weekly or at least every two weeks.
    • For OCASE, services need to be recorded on the same day or if not possible, within 72 hours.
  8. Who can submit the OCHART report every six months?
    • Executive Director or designated Manager/Director
  9. Who can set up accounts?
    • OCHART – users request their own accounts
    • OCASE – with Managers or ACI
  10. Who can deactivate accounts?
    • OCHART – Managers/Directors and Executive Director can request deactivation
    • OCASE – Managers, designate, ED, or ACI
  11. How to reset passwords on OCASE?

    • Users click “Forgot Password?”
  13. When something cannot be recorded, such as meals for Harm Reduction drop-ins, what should we do?
    • Managers/Directors or Executive Directors can type this as narrative in the OCHART report.
  14. Why is it important to record our work?
    • Having complete and correct data will provide data required for program evaluations.
  15. What if I missed the recording deadlines?
    • If Tracking Tool entries are entered before the OCHART report is submitted then they will be included in the report.
    • If Tracking tool entries are entered after the OCHART report is submitted then they will not be included in the report.
    • For OCASE, services need to be recorded on the same day or if not possible, within 72 hours.
    • During the OCHART reporting months of April and October, data entry deadlines for both OCASE and OCHART must be strictly followed to ensure that everything is included in each six-month report.
