Email attachments can be a real 'white elephant' for a user's email quota when sharing files internally. When sharing files internally you can link to the file directly, this will also allow you to work around the 5MB attachment limit.


Here's how you can link to a file directly from the shared drive:


1. Open Outlook and write the text of your email



2. Right click a blank spot in the email and select 'Hyperlink...' from the context menu



3. From the pop up window, click the downward facing arrow to the right of 'Documents'



4. Select 'Share (\\ohtnfile) (S:)' from the drop down menu


*Note, other users will only be able to access links to files in common folders. Files in your 'U:\' drive will need to be moved to the S:\ drive before other users will be able to access them.


5. Select the file you would like to link to and click 'OK'



6. The file will then be linked in the email



7. Users can then access the file by holding the 'Ctrl' button on their keyboard and clicking the file with their mouse.
