Here are the step-by-step instructions to view a specific worker or workers previous scheduled appointment details - previous month, week, day.

 

Login to TREAT:

Go to: https://www.treat.ca/treatweb/logon

Organization ID: ocase

Enter your User ID and your Password (TREAT - Forgot Password? Self-serve Process)

 

  1. Start from the blue bar along the top of your TREAT session
    1. Click Scheduling
    2. Select Schedule
  2. Click the plus sign (+) next to Primary Workers
  3. Type the Worker's first name or last name and click the search button
  4. Click the checkbox beside the Worker's name
  5. Click the blue View Schedule icon
  6. Now you can see the Schedule calendar for the Worker(s) that you selected
    1. On the far-right side of the screen select either Month (default), Week or Day
  7. Click each appointment on the calendar, one-by-one
  8. Scroll to the bottom to the Activities section
    1. Your hope is to see "+ Expand activity details"
    2. Optional and recommended: click "+ Expand activity details" to see that the items represent the work that is being done by the Worker 
    3. Click OK
    4. Repeat steps 7 and 8 until finished
  9. If you see "No Activities Found", this is a problem; scroll back up to the top and click Edit
  10. Scroll to the bottom and click the blue "+ Add Activity" icon
  11. Click the drop-down arrow to open the free text area
  12. Type any word for the Service Activity Item
    1. See Appendix IV in User guide for a listing
    2. Service Activity Items are unique by Program
  13. Select the item when you see it
  14. Type the number of Units
    1. Usually 1 (one)
    2. Can be a count or quantity of items for practical assistance
    3. Can be the number of minutes to represent hours
    4. If a group appointment, use a number as if for one member, i.e. do not multiply units by the number of attendees
  15. Important: click the blue "+ Add Activity" icon to represent all of the work and service coordination that goes into providing the service(s)
    1. e.g., COORD for service coordination items
    2. e.g., REF for external referral items
    3. e.g., COUN for general support items
    4. Add as many items (but at least one) as needed to represent the work done during the session
  16. Please note: for example, if a telephone call was made on behalf of the client 'afterwards', you will need to record that as a separate appointment/session (after the fact) along with the applicable Service Activity Item(s)
  17. Click Save
  18. Click Save again (at this point you can see some other Save options - use these at your own discretion)
  19. Referring back to step #8 and step #15 above, if you need to add more Service Activity Items
    1. Click Edit at the top of the View Schedule Entry
    2. Scroll to the bottom
    3. Click "+ Expand activity details" first
    4. Click Edit
    5. Click blue "+ Add Activity" icon on the right-side of that area
    6. Type the name of the next Service Activity Item and the Unit(s)
    7. Repeat 19(e) and 19(f) as many times as needed
    8. Click Save
    9. Click Save
  20. Coach Worker or have colleagues work together to improve or maintain data consistency and accuracy
    1. Ensure that information is being entered accurately using the 24-Hour clock (see Appendix VIII in User guide for quick calculations)
